Introduction to Saved Ring Lists (Ring Groups)
Saved ring lists, formerly ring groups, are lists of teammates, teams, VoIP desk phones, and phone numbers that can be referenced in a call flow (phone tree).
When an incoming call is directed to a saved ring list, all phones in the ring list will ring simultaneously and the first to answer will get the call.
Saved ring lists can be used to:
- Route calls to a different desk phone or person based on who's working in the office on a particular day.
- Ring the appropriate provider after-hours based on who is on-call for a given shift.
- Forward calls to a covering physician when a provider goes on vacation.
Creating a New Saved Ring List
There are two ways to create a new saved ring list:
- From Settings > Phone & SMS > Saved Ring Lists. Then clicking the “New Ring List” button.
- While creating or editing a call flow, a new saved ring list can be created when selecting which ring list should be used for an incoming call or when selecting the recipient for sending an SMS text message notification as a post-call action.
How to create a new saved ring list:
- Give the ring list a name that’s easy to recognize. This will be used to identify the ring list in your organization.
- Select the members of the ring list. You can select from your organization’s teammates, teams, or VoIP desk phones.
Note: To have calls ring individuals in your Spruce organization, select “Teammate or Team” and then choose the teammate from the list. This will ensure that inbound calls respect your teammates’ preferences for how calls ring through to them. When a team is selected, all team members' phones will ring simultaneously.
Managing Availability in a Saved Ring List
All the saved ring lists in your organization are available to view from Settings > Phone & SMS > Saved Ring Lists.
Each saved ring list displays the members of the ring list and a toggle to indicate whether or not they are currently receiving calls for that ring list.
- When the toggle is ON, the ring list member will receive calls for that ring list. Note: The teammate in the list must have “Accept Incoming Calls” turned ON in their personal preferences (Settings > Personal Preferences) to receive incoming calls that are directed to them.
- When the toggle is OFF, the ring list member will not receive calls for that ring list.
- If the saved ring list is referenced in a post-call action, for example when sending an SMS text message notification, the availability toggle will also determine whether or not they receive the notification text message.
A common use case for toggling ring list availability off and on is for on-call or after hours coverage. A call flow could reference an “On-Call” saved ring list and the current on-call provider in the organization would set their availability toggle to ON, while everyone else in the “On-Call” ring list has their availability toggle set to OFF.
Editing a Saved Ring List
To edit a saved ring list:
- Go to Settings > Phone & SMS > Saved Ring Lists.
- Select the saved ring list you’d like to edit.
- On web, click the “Edit” button to edit the saved ring list.
- On mobile, tap the Add button in the upper right to add members to the list. Or tap the three dots to remove a member from the list.
Note: Because saved ring lists are shared across your organization, any edits you make to them will be applied to every call flow where the saved ring list is in use.
